Policies

Food and Beverage Policies and Procedures 

We encourage you to work closely with your event planner to develop a suitable menu for your event. Our menus are based on guest counts of 12 or more. If your group is under 12 guests, please contact the Catering team for alternative menu options. Your menu is not limited to what you see here. Work with your event planner to create a unique menu for your event.

    

Lead Time 

We require a minimum lead time of 10 business days for Catered food and beverage services. Any events requested within the 10 business day window must have a written approval from the Catering department. 

Waivers

Waivers are required for events such as: donated food, any food not prepared by SOU Dining, for loose items (i.e. snacks, coffee pods, etc.). Waivers need to be requested 2 weeks prior to the date of the event. Waivers are approved at SOU Dining's discretion and the approval needs to be obtained prior to the advertisement of events.

 

Cancellations 

We value your business and ask that you respect our catering scheduling policies. Please notify us at least 72 hours in advance of an event cancellation. Any cancellations of less than 72 hours of notice are subject to a cancelation fee, determined by length of notice and food and drink purchased for event. 

 

Event Timing 

In order to ensure that your event is set up and cleared in a timely manner, please supply both the start time and the end time when booking an event. 

 

Linen 

SOU themed colors of black and red linen are available for the food display and bar set up, buffet tables and stations, at no cost. The guest seating tables, and extra tables such as the SU building hallway welcome tables, etc. linens are charged at $4.00 per cloth. 

 

If you require specialty linen, please contact your event planner to discuss options available within your budget. Special order linen colors, other than black and red, need to be ordered at least seven (7) days in advance, to guarantee your selection. 

 

Leftovers 

Any event that is cleaned up by the Catering department will not have leftovers available for food-illness safety reasons. This includes desserts, beverages, and candy. 

 

Billing 

We gladly accept VISA, Master Card, American Express, Cash, Check, or SOU Index Code. 

If paying with an index code, please provide it to us on the day your order is placed.

All Student menu items are for pick-up only within operating hours. 

 

Student Gatherings of 11 guests or less qualify for a Food Waiver Form at a maximum of spending $100 

 

For Student Groups of 12 or above, a waiver will be awarded for the following reasons:

If Catering is booked for the date of the event 

Fundraisers (I.e. Bake Sales) 

The timeline of the event hinders the procurement of product 

The event is not financially viable

   

Large Student Catering Events 

Large events include: Cultural Events, BBQs, Holiday Gatherings, or events where Time Temperature Control needs to be maintained 

 

A waiver and a full menu for a large event must be submitted 10 business days before the event. If approved, an SOU Catering employee will come to the event to verify food safety procedures for a fee of $25.00. 

 

If the Student Group does not have a food handlers card holder, one will be provided by an SOU Catering employee at the rate of $30/hr.
